The Grace M. Pickens Public Library meeting room is available free of charge for eligible nonprofit organizations, community groups, and public meetings when not in use for library or City of Holdenville events. Permission to use the meeting room does not imply library endorsement of any organization, meeting, or activity.
The meeting room is available free of charge.
Meeting rooms are available only during regular library hours.
Use of the meeting room will not be denied based on the subject matter of the meeting or the beliefs of the group.
Priority is given to Grace M. Pickens Public Library and the City of Holdenville.
Reservations may be made up to three (3) months in advance.
If a meeting must be canceled, please notify the library as soon as possible.
The individual making the reservation is responsible for the room and for following all meeting room policies.
Library Administration reserves the right to approve or deny all reservations.
The meeting room may be used for:
The meeting room is not intended for:
Private parties or social events
Personal gatherings
Tutoring or one-on-one instruction
Private study
Personal business meetings
Individuals or small groups may be allowed to use the room on a walk-in basis, with staff approval, if the room has not been reserved.
Groups using the meeting room must:
Leave the room clean and orderly.
Return furniture to its original arrangement.
Dispose of all trash.
Respect other library visitors by keeping noise to a minimum.
Be responsible for any damage caused during use.
The Library is not responsible for personal property left in the meeting room.
Light snacks and non-alcoholic beverages are permitted.
Groups must provide their own supplies and utensils.
Alcohol, tobacco products, vaping, and smoking are prohibited anywhere on library property.
Open flames or embers are not permitted.
Groups may advertise their meetings; however:
"This is not a program sponsored by or affiliated with Grace M. Pickens Public Library."
The meeting room may not be used for:
Commercial sales or financial gain
Selling products or services
Solicitations or fundraising transactions
Storage of equipment or supplies
Inflatable attractions inside or outside the library
Political campaign meetings organized to promote or oppose candidates or ballot issues are not permitted.
Candidate forums hosted by a nonpartisan nonprofit organization, where all candidates for the same office are invited, are allowed.
Meetings hosted by elected officials to communicate with constituents are also permitted.
Maximum occupancy is 25 people, as established by the City of Holdenville Fire Chief.
Decorations or signs may not be attached to walls, doors, ceilings, or other library surfaces.
All meetings must comply with applicable safety regulations.
Failure to follow these policies may result in:
Immediate termination of the meeting
Loss of future meeting room privileges
Responsibility for damages to library property
Library Administration has final authority regarding all meeting room reservations and use.
